This is a volunteer run organization and we need your help for all sorts of different jobs. If you submitted volunteer information during the registration of a player it is not necessary to complete another form. We welcome volunteers of all ages. Please sign up to volunteer.

REGISTRAR

  • Volunteer Board member is Registrar in charge of all aspects of registration; Paid registrar is person hired by SCYSA to carry out the tasks associated with registration;
  • Paid registrar is paid for out of a 'registration' fee for each registrant;
  • Paid registrar works with the Registrar and is responsible for every aspect of registration including: database entry, X - referencing registrations to payments; Updates registration information i.e. change of phone number, address etc.; answers phone calls (assuming we have a phone) - resolves or redirects; facilitates the formation of teams along with Area Reps and Divisional Coordinators; enters team lists into database; monitors the subsidy program.
  • Volunteer registrar takes over these duties when the paid registrar has competed their work;
  • Registrar updates website information to ensure divisions, teams and coaches information is correct.

THE COACH:

Coaching is a challenging task, not for the feint of heart. The job of a coach is to "enable the athlete to achieve levels of performance to a degree that may not have been possible if left to his/her own endeavours" or more simply, the role of the coach is to create the right conditions for learning to happen and to find ways of motivating the athletes.

Coach as a Facilitator

  • Promotes fair play.
  • Coordinates team practices.
  • Encourages players to have proper rest and eating habits.
  • Teaches the team proper warm-up/warm-down exercises.
  • Presents team with pre-game strategies - 'everybody on the team plays a role'.
  • Works closely with the Assistant Coach, Manager and Parents.
  • Gives players equal opportunities and equal time.
  • Is encouraging, enthusiastic and positive
  • Listens to the players-they will work best if we respect and encourage them.
  • Politely but firmly restrains over-enthusiastic parents.
  • Knows the rules of the game and to pass that knowledge on to young players.
  • Plans practice sessions and game plan (pre-game instructions, substitute system)
  • Is on time for practices and games.
  • Has an adequate supply of balls and equipment.
  • Knows emergency procedures--ambulance telephone numbers, basic first aid.
  • Is capable of working miracles on a regular basis.

Coach as a role model

  • Demonstrates respect for team members, opponents, referees, parents, spectators, opposing coaches and the Laws of the Game.

Knows who he/she is coaching

  • Understands that children mature at different levels.
  • Treats each person as an individual.
  • Understands that not everyone participates for the same reason.

ASSISTANT COACH:

Each coach should look for an assistant coach or co-coach to help with the above duties. He/she should be willing and available to take on coaching duties when the coach cannot make a game or practice. The assistant coach will work in co-operation with the coach.


Coaches are probably the most important part of a child's experience in soccer. Their primary responsibility is to establish a healthy, positive team environment; [lacking this, it doesn't matter how much the coach knows about soccer, thereby not attaining the league mission.] When players are being challenged in a positive and constructive way, they have fun. When players enjoy themselves, they are more receptive to learning. This applies to both competitive and recreational soccer. The coaches are extremely important people in the soccer community and, in exchange for striving to meet a high standard of performance; they deserve our ongoing thanks, support and respect. Most are grateful for parent participation, so all parents should find out how they can help with team duties.

TEAM MANAGER:

A Team Manager should be one of the family members of a team. He/she should have a positive influence on the behavior of the parents at games and work to support the coach. The team manager will work in cooperation with the coach and assistant coach to:

  • Distribute team uniforms
  • Provide updated team roster, phone list and schedule to players
  • Act as liaison between Coach and Player
  • Ensure all players are aware of games and practices

    Help solve problems that may arise
  • Assist the coach with the arrangements for practice locations and times
  • Coordinate parent participant for half-time oranges etc.
  • Establish an emergency procedure in case of serious injury
  • Communicates as required with area reps

EQUIPMENT MANAGERS:

  • One for the north coast and one for the south coast
  • Maintains all aspects of inventory control under SCYSA supply
  • Help to develops a budget for equipment purchases
  • Orders new equipment
  • Distributes inventory to area representatives

**Equipment**

The SCYSA supplies each team with practice and game balls, cones and jerseys. All equipment belongs to the SCYSA and must be returned after the final tournament. Equipment drop off locations and dates will be announced prior to the end of the season and posted on the website.

FIELDS MANAGER:

  • Secures permission for annual use of all fields by SCYSA
  • Attends SCRD annual field meeting
  • Keeps an inventory of liners and paint; orders paint
  • Schedules volunteers (and paid students) for field lining

SCHEDULER:

  • Develops the schedule for the house league based on the format provided
  • Makes changes as necessary during the season because of field closures, special requests, etc.
  • Double checks schedule and field allocation to ensure no double bookings

SCORE KEEPER:

  • Keeps track of game scores and standings
  • Follows up with referees or team mangers to encourage timely reporting of scores
  • Posts standings on website

CHIEF REFEREE:

  • Executive board member or appointee of the board
  • Works with the executive to organize new referee training and refresher clinics
  • Updates on SCYSA rules and policy
  • Keeps referees informed of changes to rules, laws or other matter relating to policy
  • Works with a Referee Sub-committee for referee assessments
  • Contacts and maintains disciplinary records on player offences and ensures disciplinary committee has copies
  • Mediates with referee and other party when a concern arises. Helps to come to a resolution. Monitors referee performance as may be necessary

REFEREE SCHEDULER:

  • May be a volunteer or a paid position
  • Works on behalf of the executive to prepare a weekly referee schedule
  • Contacts referees by phone to arrange for scheduling and to advise them of meetings, pay cheques or to relay other referee related information
  • Maintains data for referees' compensation and submit invoices accordingly
  • Arranges for the delivery of pay cheques
  • Is assisted by the Chief Referee as may be necessary

THE REFEREE:

  • May be a volunteer or a paid position
  • Enforces the laws of the game;
  • Acts as timekeeper and keeps a record of the match;
  • Stops, suspends or terminates the match because of outside interference of any kind;
  • Ensures the game is played fairly and safely; may stop the game to deal with injured players;
  • Attends annual refresher courses;
  • Report scores by 5PM on the day of game;
  • Reports any misconducts promtly after games.
  • The decisions of the referee regarding facts connected with play are final.

Referee Registration: Referees who wish to be on the list of available referees for the season should call the Chief Referee. All referees are expected to have completed a basic referee-training program and to attend annual refresher clinics.

Respecting the Referee - Game officials are necessary and important for all soccer games. It is imperative that the coaches, players and parents show the utmost respect for all game officials at all times. Any physical or verbal abuse will not be tolerated. Coaches should be aware that it is their responsibility to control their players and supporters (i.e. parents). Failures to do so may result in discipline.

Parents, coaches and players (captain included) do not have a right to question the referee. However, if there is a significant problem with the officiating (i.e. the ref does not see that an opposing player is consistently tripping players) the coach or captain may calmly and politely approach the referee at half time or after the game to draw attention to the problem, keeping the comments both constructive and positive.

Referee conduct that is seriously questionable should be reported to the league in writing.


Remember the referee is also someone's child.

  • Reports to the House Director;
  • Coordinates the team selection process for a boys divisions based on information provided by the registrar;

  • Reports to the House Director;
  • Coordinates the team selection process for a girls divisions based on information provided by the registrar;

TOURNAMENT COORDINATOR:

  • Organizes & schedules the Annual Year-End Tournament for the all divisions.
  • Works with the Awards Coordinator.

Volunteer Disclosure Form

All adults who volunteer to work with youth will need to undergo a Criminal Records Check. To do this, visit your local RCMP office and request a Criminal Records Check Form. Please submit this form in person to the RCMP and present the requisite identification at that time. Please note that you are a volunteer for the Sunshine Coast Youth Soccer Association on the form.

Volunteers may also fill out a Risk Managment Form.  Download the form (PDF), print it, fill in the blanks and sign it, then mail it to the SYCSA at PO Box 215, Gibsons, BC, V0N 1V0.
